Renewal and contract mapping
The problem
In most organizations the contract records live with the legal team, the renewal dates live with the end users and the IT staff who own each tool, and procurement learns that a renewal is happening only when the signature request arrives. By that point the notice window has usually closed and the leverage to renegotiate is gone.
Contracts that no one is tracking auto-renew at list price, and true-up exposure on agreements with vendors such as Microsoft, Oracle, Adobe, and SAP builds through the year without anyone watching it accumulate. The information needed to act early already exists inside the company. It is scattered across departments and systems, so no single person holds the whole picture in time to use it.
What we do
We assemble every contract into one view, with its cost, term, auto-renew clause, notice deadline, and internal owner, drawn from records you already have in your expense data, your procurement files, your contract repository, and your identity provider. Nothing new has to be created, because the source records already exist.
We then run every contract backward from its notice deadline and put the earliest actions first, so a renewal review opens while the negotiating window is still open rather than after it has closed. Each contract carries its owner and its terms next to the date, so procurement starts the conversation with the facts in hand instead of reconstructing them under time pressure. The first view is available within days, and the full mapping across the portfolio is complete in about three weeks.
Built around your renewal calendar
No two contract portfolios are alike. Your notice periods, your auto-renew clauses, and the way ownership is split across legal, IT, and procurement are specific to your company, so we scope the work to your estate rather than to a template. What you receive is one calendar that shows every renewal, its owner, and the deadline to act, far enough ahead that you decide on your own terms.
We price every engagement through a scoped assessment that produces a fixed price before any work begins. Our services pricing framework explains how the assessment sets the number and how execution is priced.
